Job Title: Hospice Administrator/Coordinator
Location: Glendale, CA (In-office Full-Time)
Reports To: Director of Nursing (DON) or Executive Director

Job Summary:

We are seeking a highly organized and compassionate Hospice Administrator/Coordinator. The ideal candidate will have a Licensed Vocational Nurse (LVN) background and a strong understanding of hospice care, with excellent administrative, organizational, and communication skills. This full-time, in-office role involves managing day-to-day administrative tasks, including handling phones, scheduling, and placing orders, to ensure the smooth operation of hospice services.

As the Hospice Administrator/Coordinator, you will serve as a vital point of contact for both patients and staff, ensuring that all operational aspects of patient care are efficiently coordinated. You will work closely with the nursing team, physicians, and families to provide exceptional care and support while maintaining high levels of organization and compliance.

Key Responsibilities:

  • Phone and Communication Management:

    • Answer incoming calls, respond to inquiries from patients, families, and staff, and direct calls to appropriate personnel.

    • Provide general information about hospice services and support for patients and families.

    • Maintain strong, effective communication with interdisciplinary teams to coordinate patient care and address any immediate needs or concerns.

  • Scheduling & Coordination:

    • Schedule patient visits, including coordinating with field staff (nurses, aides, social workers) to ensure appropriate timing and coverage for patient care.

    • Confirm appointments, follow up on patient needs, and communicate any changes to the care plan or schedule.

    • Assist in coordinating the delivery of supplies and medications for patients in a timely manner.

  • Placing Orders & Documentation:

    • Place orders for medical supplies, equipment, medications, and other patient-related services as needed.

    • Assist with maintaining accurate patient records, ensuring all documentation is complete, accurate, and up-to-date.

    • Support the Director of Nursing and clinical team in ensuring that all necessary orders are processed and received promptly.

  • Administrative Support:

    • Assist with billing, insurance verification, and patient intake forms, ensuring that all administrative aspects of patient care are organized and compliant with regulatory standards.

    • Process and track all hospice-related documentation, including patient charts, care plans, and other necessary forms.

    • Maintain and update patient files, ensuring compliance with HIPAA and other privacy regulations.

  • Compliance & Quality Assurance:

    • Ensure that all orders, documentation, and patient schedules are consistent with company policies, state regulations, and industry standards.

    • Support quality assurance and compliance efforts by maintaining accurate records and assisting with audits as required.

    • Assist in addressing patient or family concerns by working collaboratively with clinical and administrative teams to resolve issues promptly.

Qualifications:

  • Education & Experience:

    • Licensed Vocational Nurse (LVN) with active, unrestricted license in California.

    • Minimum of 2 years of experience in a hospice or healthcare administrative role (preferred).

    • Strong understanding of hospice care regulations, processes, and practices.

    • Prior experience with patient scheduling, orders, and administrative duties is highly preferred.

  • Skills & Abilities:

    • Excellent organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment.

    • Strong phone etiquette and customer service skills, with a compassionate approach to working with patients and families.

    • Attention to detail and accuracy in completing documentation and processing orders.

    • Ability to work collaboratively with a multidisciplinary team and foster a positive work environment.

    • Basic proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and electronic health record (EHR) systems (preferred).

  • Other Requirements:

    • Ability to handle confidential and sensitive information with discretion and professionalism.

    • Strong written and verbal communication skills.

    • Ability to manage a variety of administrative tasks and responsibilities with minimal supervision.

Salary range: $55,000-$75,000
