Role Overview:
The Volunteer Manager and Communications Coordinator will be responsible for overseeing and coordinating all volunteer-related activities, ensuring the successful integration of volunteers into various programs. This includes managing volunteer onboarding, approving volunteer hours, coordinating program marketing efforts, and ensuring effective communication across multiple teams. The ideal candidate will be highly organized, a great communicator, and passionate about empowering volunteers to make a difference. This role also requires a proactive approach to improving volunteer engagement and developing best practices for volunteer management.

Key Responsibilities:

  • Volunteer Hours Approval: Manage volunteer hours via FC Connect. Verify volunteer hours against CMS records, approve or reject hours, and ensure accurate logging.

  • Volunteer Program Marketing: Oversee marketing efforts for volunteer programs, including email campaigns, text blasts, and social media posts. Ensure content is proofed and approved in a timely manner.

  • Volunteer Onboarding and Approvals: Coordinate the volunteer approval process through Monday.com, ensuring all steps are completed for new and returning volunteers.

  • New Volunteer Orientation & Workshops: Follow up after orientations and workshops to ensure new volunteers are fully onboarded and provide ongoing engagement.

  • Track and Recognize Volunteer Achievements: Manage the Presidential Service Awards program by tracking volunteer hours and submitting applications for qualified volunteers.

  • Ongoing Projects: Actively participate in projects aimed at improving the volunteer experience, including moving communications to Slack, streamlining volunteer intake processes, and automating contacts across platforms like Constant Contact and EZ Texting.

  • Volunteer Engagement: Maintain ongoing communication with volunteers to ensure they feel supported and motivated. Provide troubleshooting support and guidance as needed.

  • Collaboration & Coordination: Work closely with program coordinators and other team members to ensure smooth integration of volunteers into various programs.

  • Social Media Management: Curate and post engaging content about volunteer activities on social media platforms (Instagram, Facebook) using Loomly.

  • Administrative Support: Maintain accurate records and databases related to volunteer activities, hours, and communication using platforms such as Monday.com and FC Connect.

Required Skills and Qualifications:

  • Minimum of 2 years of experience in volunteer management or related field.

  • Strong organizational skills and ability to manage multiple tasks and projects simultaneously.

  • Experience with volunteer coordination software (e.g., Monday.com, FC Connect) or similar platforms is a plus.

  • Proficiency in social media management tools (e.g., Loomly) and email marketing platforms (e.g., Constant Contact, EZ Texting).

  • Strong written and verbal communication skills.

  • Ability to engage and motivate volunteers while maintaining clear expectations.

  • A passion for volunteerism and community involvement.

Preferred Skills and Qualifications:

  • Bachelor’s degree in Social Services, Nonprofit Management, or a related field.

  • Experience with managing large volunteer groups in a nonprofit or community-based setting.

  • Ability to work independently and as part of a team in a fast-paced, evolving environment.

  • Familiarity with CMS systems or other database management tools.
