Position Summary
The Procurement Specialist / OMT Associate helps manage customer orders from processing through delivery. This role combines purchasing coordination, vendor follow-up, customer service, and
accurate recordkeeping in Salesforce. You will work closely with suppliers, customers, and internal teams to confirm order requirements, monitor delivery commitments, resolve issues, and keep orders moving. The ideal candidate is
organized, communicates professionally, and follows through without needing frequent reminders.
Responsibilities:
- Create, review, and update sales orders, purchase orders, and account records in Salesforce.
- Verify order details, including part numbers, quantities, pricing, lead times, and required documentation.
- Coordinate with suppliers to obtain order acknowledgments, status updates, shipping information, and tracking.
- Proactively follow up on outstanding information, approaching deadlines, and overdue orders.
- Keep customers and internal teams informed of order progress, delays, and changes.
- Identify order discrepancies, document issues, and coordinate resolution through closure.
- Escalate supplier delays or unresolved concerns according to established procedures.
- Support the Purchasing and Customer Service email inboxes as assigned.
- Assist with reviewing inventory, product usage, purchasing opportunities, and forecasting needs.
- Maintain accurate records and complete data entry promptly.
- Follow company purchasing, quality, and order management procedures.
Requirements:
- High school diploma or GED.
- At least six months of related experience or training in procurement, order management, customer service, administrative support, or a similar field.
- Strong attention to detail and the ability to manage multiple orders and priorities.
- Professional written and verbal communication skills.
- Ability to follow procedures, recognize discrepancies, and resolve routine problems.
- Comfort working with business software, email, and electronic records.
- Basic math skills, including calculating percentages and working with quantities and units of measure.
- Ability to work independently while collaborating with coworkers and management.
- Reliable transportation and the ability to work in person at our Indianapolis office.
Compensation: $70,000-85,000 Depending on Experience
